Delete Your Account

This page explains how to request deletion of your AENTRA WorkForce Solutions account and the associated personal data, in compliance with the Google Play User Data policy and the Apple App Store Review Guidelines.

1. Who this applies to

AENTRA WorkForce is a workplace platform: most accounts are created and managed by your employer (the "tenant administrator"). If you are an active employee, your administrator may need to keep your timesheets, deliveries, payroll, and tax records for legal and accounting reasons even after you leave the company.

  • If your employer still uses AENTRA, please ask your administrator to remove you first.
  • If you are a tenant administrator, deleting your account does not automatically delete the entire tenant — contact us to wind down the tenant.
  • If you signed up as an individual (no employer tenant), you can delete your account directly.

2. How to request deletion

You have two options:

Option A — From the mobile app
  1. Open the AENTRA Workforce app on iOS or Android.
  2. Sign in with your account.
  3. Go to Profile → Settings → Delete Account.
  4. Confirm the prompt. Your request is submitted immediately.
Option B — By email
  1. Send an email to support@aentra.ca from the address registered on your account.
  2. Use the subject line "Account Deletion Request".
  3. Include your full name and the email address associated with the account.
  4. We will verify your identity and confirm the deletion within 30 calendar days.

3. What data is deleted

When your deletion request is processed, the following data is permanently removed:

  • Profile information (name, email, phone, role, profile picture)
  • Authentication credentials (password hash, passkeys, biometric enrollment status)
  • Device tokens used for push notifications
  • Personal preferences and app settings
  • Any documents, photos, and notes uploaded only by you and not attached to a shared work record
  • Session history and audit logs that identify you personally

4. What data is kept (and why)

Some records are retained in anonymized or pseudonymized form because tax, payroll, labour, and accounting laws require it. These records no longer identify you personally once your account is deleted:

  • Timesheets, payroll, and pay stubs — retained for up to 7 years as required by Canadian Revenue Agency / IRS recordkeeping rules.
  • Invoices, quotes, and receipts — retained for up to 7 years for financial audit.
  • Delivery records and Pre-Delivery Inspections — retained at the tenant level for warranty and liability tracking, with your personal identifiers replaced by an anonymous employee ID.
  • Aggregate analytics (counts, totals, no personal identifiers) — retained indefinitely.
  • Backups — encrypted system backups roll off automatically within 90 days.

6. Cancelling a deletion request

If you change your mind, you have 14 days after submitting a request to cancel it by replying to the confirmation email or contacting support@aentra.ca. After 14 days the deletion becomes permanent and cannot be undone.

7. Children

AENTRA WorkForce is not intended for, or directed to, children under 16. We do not knowingly collect personal information from children. If you believe a child has created an account, contact us and we will remove the account immediately.
